This privacy notice applies to the British and Foreign School Society (BFSS), a registered charity 314286.

Statement of Intent

When you supply any personal information to BFSS, we have legal obligations under the Data Protection Act 1998 and the General Data Protection Regulation (GDPR) (Regulation (EU) 2016/679) In particular, we must:

  • collect the information fairly
  • let you know how we will use it
  • keep the information secure

We are committed to protecting and respecting your privacy. Whenever you provide personal information we will treat your information in accordance with this privacy policy, and with legislation.

Information we may collect from you

If you apply to us for a grant, Membership, a job or to provide a support service, we will receive your personal information which may include your name, job title, employer, email address, postal address or telephone number.

How We Use Your Information

When we collect and use your personal information we will make sure this is only done in accordance with at least one of the legal grounds available to us under Data Protection law as follows:

  • Grant administration and monitoring
  • Membership administration and communication about our activities and governance
  • Invitation to BFSS events
  • Staff and supplier administration
  • Responding to correspondence you have sent to us
  • Sending information about BFSS to our supporters and beneficiaries

Consent

We will not contact you for marketing purposes unless you have given your express consent. If you have consented to receive marketing, you may opt out at any time by contacting us.

Disclosure of your information

We will keep your personal information confidential, and will not supply it to any third party without your consent, unless we are obliged or permitted by law to do so.

We may sometimes use third parties to process your information on our behalf (for example, send out mailings, or analyse data). However, we require them to keep your information secure and not to use it for their own business purposes.

Where we store your personal data

The data that we collect from you may be transferred to, and stored at, a destination outside the European Economic Area (“EEA”).  Where this is the case we will ensure that data is transferred securely in accordance with the General Data Protection Regulation.

We are committed to ensuring that your information is secure. In order to prevent unauthorised access or disclosure, we have put in place suitable physical, electronic and managerial procedures to safeguard and secure the information we collect online.

Retention

We will retain your personal information only for as long as is necessary and consistent with the law.

There is certain information that we are required by law to keep for set periods of time, for example, relating to staff records.

In all other circumstances if you have had no communication with the BFSS for at least three years we will ensure that all your personal information is deleted.

Our website may contain links to third party websites. This policy only applies to this site, so if you follow a link to a third party site, please make sure you read the privacy policy on that site. We do not accept any responsibility for third party sites.

Your rights

You have the right to ask us, in writing, for a copy of all the personal data held about you (a subject access request). A copy will be sent to you as soon as possible but this will be not later than 30 calendar days after we have received your request. You also have the right to request that your personal data is deleted. If you would like to access your personal data held by us, or request your data is deleted, please contact us.
